The Problem

PPC Windows is a commercial and residential window cleaning service provider. They have a van fleet and a crew of drivers who visit various sites every day. They did, however, have some difficulties in handling their car maintenance and use logs, as well as their employee information. They used to rely on paper forms and manual entries, which were inefficient, time-consuming, and error-prone.

The brief

It involves developing a document management system that will allow PPC Windows to store, organise, and retrieve various documents such as policies, contracts, invoices, and so on. The technology would also assist them in ensuring that they are adhering to the most recent industry standards and laws.

The document management system would be integrated with PPC Windows' current CRM and mobile app, resulting in a consolidated platform for managing all areas of their business. The system would also include the following features:

- Document upload and download: The admin staff could upload any type of document to the system and share it with the drivers or customers. The drivers could also download the documents they need from the app.
- Document search and filter: The users could search for any document by keywords, categories, dates, etc. They could also filter the documents by status, type, owner, etc.
- Document versioning and history: The system would keep track of all the changes made to each document and show the history of revisions. The users could also compare different versions of a document and restore previous ones if needed.
- Document approval and signature: The system would allow the admin staff to approve or reject any document submitted by the drivers or customers. It would also support digital signatures for verifying the identity and consent of the parties involved.

The solution

Phase 1: Development of a custom CRM and mobile app for vehicle management.

 

The initial phase was to create a unique CRM system that would allow PPC Windows to track and manage their vehicles, drivers, and clients. The CRM would safeguard all important data in a cloud database and give an easy-to-use interface for administrative staff.
